In 2011, allfields won a competitive process to redevelop core Word templates used by the Ministry of Economic Development.
Allfields not only delivered a solution that met our needs for simplified templates administration and integration, but also were a pleasure to work with on a project where the scope shifted more than once – sorry Shiree!
Staff who attended workshops with Shiree commented on her ability to convey technical terms in lay persons language. Shiree has an expert knowledge of templates from a business perspective which combined with her pragmatic approach and Patrick’s innovative developer skills means we’re delighted with the end result.
Andrea Grover - Information Manager – MED
Templates Business Owner
our approach
MED presented allfields with a set of over 200 templates, in many various formats that rightly integrated into their DMS. The approach from that point was to work with the Templates Business Owner and a selected set of Key MED staff to ensure the right templates were being selected as the core templates and any functionality required was retained, and redundant functionality removed.
Allfields also kept in touch with the entire organisation giving regular updates to key groups about progress and a forum for feedback.
All staff, as part of their Windows 7, office 10 Upgrade course were taught the importance of using standard templates and how to access and use these.
Some of the key requirements were:
- Provide a dynamic way to manage the presentation of template choices
- Provide a smart way to manage changeable content, such as Ministers names
- Develop a new custom Ribbon for Office 2010
- Train staff in how to use the templates during their Office 2010 training
- Provide timely support once the new solution went live
the result
MED staff all now have excellent visibility of their core templates. The templates themselves have had a style and a functionality makeover, and the management of templates now is such that a change can be implemented by staff almost instantly.
